VANFORU LTD

Privacy Policy

Last updated: 27 October 2026

We respect your privacy. This policy explains how we handle personal information when you visit our website, request a quotation, book a removal or transport service, or contact us.

1. Who we are

VANFORU LTD (company number 09793687) is responsible for the personal information described in this policy.

Registered office: 6 Park Lane, Hornchurch, England, RM11 1BB.

For privacy enquiries, contact office@vanforu.co.uk.

2. Information we collect

Depending on your enquiry or booking, we may collect:

  • Your name, email address and telephone number.
  • Collection and delivery addresses, moving date, preferred time and property access information.
  • Furniture inventories, service requirements, instructions and any information you choose to provide about your move.
  • Quotation, booking, payment and invoice records.
  • Messages and photographs you choose to send to us by email or WhatsApp.
  • Limited technical information needed to operate and protect our website.

Please avoid including unnecessary sensitive personal information in free-text fields.

3. Why we use your information

We use information to prepare quotations, respond to enquiries, arrange and deliver removal or transport services, manage bookings, communicate service updates, handle payments and invoices, maintain necessary business records, and respond to complaints or claims.

We do not sell customer information, trade leads or provide customer details to other companies for their advertising. We do not use quotation details to send unsolicited marketing emails.

4. Our legal bases

Under UK GDPR, our legal bases depend on the activity: taking steps at your request before entering into a contract, performing a contract with you, complying with legal obligations (such as accounting and tax requirements), and legitimate interests in operating, securing and improving our services and handling enquiries or disputes. Where consent is required for optional analytics or advertising technologies, we will ask for it before activating them.

5. Smart Quote drafts saved on your device

If you start a Smart Quote but do not submit it, your browser may save the details locally so you can continue later on the same browser and device. Our intended retention period for these unfinished drafts is up to 30 days. You can remove a draft using the form's reset option or by clearing browser storage. After a successfully submitted quote request, the temporary draft is cleared from the browser.

This local draft feature uses browser storage, which is different from a traditional cookie. It may contain contact details, addresses and inventory information, so take care when using shared devices.

6. How long we keep information

  • Unconfirmed quotation enquiries: normally up to 90 days in the active quotation system, unless needed for an ongoing enquiry, dispute or another lawful purpose.
  • Completed jobs: normally up to 12 months in the active administration dashboard. Relevant invoices, financial records, contracts and evidence of claims may be kept separately for longer where required or justified by law.
  • Unfinished Smart Quote drafts: up to 30 days in browser storage, subject to the browser's own storage controls.
  • Cookie preferences: normally remembered for 12 months, unless you clear browser storage or change your preferences.

These periods describe our intended retention approach and must be implemented in the relevant systems; they do not mean that all records are automatically deleted today.

7. Service providers and disclosures

We use technical service providers to operate the website, store enquiries and send service communications. These may include website hosting, database and email delivery providers. Providers process information as necessary to supply their services, subject to appropriate arrangements and safeguards. We may also share information where required by law or where reasonably necessary to provide the service, handle a claim or obtain professional advice.

We do not sell personal information to third parties.

8. International processing

Some technology providers may process or access information outside the UK. Where UK data protection law requires safeguards for an international transfer, we aim to use appropriate transfer mechanisms and protections. The exact provider locations and transfer arrangements should be confirmed against our service configurations.

9. Website analytics and cookies

We may introduce privacy-controlled website analytics to understand visits and quotation activity. Optional analytics and advertising tracking will not be activated without the required consent. Essential website functions and local quote-draft storage are explained separately from optional tracking. Further information will be available in our Cookie Policy and Cookie Settings once those features are published.

10. Your rights

Depending on the circumstances, you may have the right to request access to your personal information, ask us to correct or erase it, restrict or object to certain processing, and request data portability. You can also withdraw consent where processing relies on consent. These rights are subject to legal conditions and exceptions.

To make a request, email office@vanforu.co.uk. We may need to verify your identity before acting on a request.

If you are unhappy with how your information is handled, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

11. Security

We take reasonable organisational and technical measures to protect personal information and limit access to people and service providers who need it for legitimate business purposes. No online system can be guaranteed completely secure.

12. Changes to this policy

We may update this policy when our services, technology or legal obligations change. The updated date at the top of this page will show when it was last revised.
